Chapter 6 - Example # 1: Scheduling Step by Step

This form describes scheduling information for the Sentinel engine. These tasks are a way to run one or more Tasks all at once, overnight or on the weekend.

Note: Usually scheduling is done only after each individual task has been tested. If there is a mistake, many documents may be affected.


Open the Sentinel Tasks Database
1. From the Notes Workspace, double click on the Sentinel Tasks application icon.

2. If this is the first time you have opened the application, you are placed in the About Database document. Press ESCAPE to close this document.

Navigate to the Task View

1. Switch to this View titled 2. Scheduler\1. by Schedule Document Name. This View lists all Schedule Documents you create. There are no documents in the View. You will now create the first one to schedule one or more Tasks.


Composing a Schedule (or Set) Document

To compose a Schedule (or Set) Document:

1. In the Sentinel Application, choose Compose 3. Schedule (or Set) Document from the Notes Main Menu.

2. The Schedule (or Set) Document will appear on screen.


Naming the Schedule

1. Enter the Name or Title of the Schedule for display in the view. The title should reflect the nature of the Schedule (i.e. Load Customer All at once for the example we will use). Enter Load Customer All at once now.

2. Enter a description of the Schedule Document. The description should accurately depict what this document accomplishes. (i.e. Load customers, mark active, load contacts, products sold, salesmen and total product sales into the parent customer record.) Enter Load customers, mark active, load contacts, products sold, salesmen and total product sales into the parent customer record now (you can shorten this step to Full Load of customers information).

Start Time

Use this section of the form to identify the Start Time of this Schedule document.

1. Enter the Start Time now.
Start Time 06:00 AM


End Time

Use this section of the form to identify the End Time of this Schedule document.

1. Enter the End Time now.
End Time 08:00 PM



Run Frequency

Use this section of the form to enter the Run Frequency of this document. The smallest number is 1 for one minute.

1. Enter 60 into the Run every section now.
Run every 60 minutes

Run Days

Use this section of the form to enter the Run Days of this document.

1. Enter Monday, Tuesday, Wednesday, Thursday, Friday into the Run Days section now.

Task Names to Run
Use this section of the form to enter the names of the Tasks you entered into the Task forms.

Note: You may have used different names than the names in this example. Selecting the "Add a Task" button will bring a picklist of all tasks.

1. Enter the names of the Tasks you want to run now.

Select a Run choice

Click on one of the buttons at the top:
Enable Disable Run Once

Enable
Enable sets the Schedule document in the Enabled mode, meaning the Sentinel Engine will run it at the specified Start Time and Run Days (you can still choose Run Now from display mode)

Disable
Disable stops all scheduling of this document (although you can always Run Now from display mode)

Run Once
Run Once sets the Schedule document in the Run Once mode, meaning the Sentinel Engine will run it at the specified Start Time and Run Days and then its status will change to Disabled. This is important if you have a document that you want to run just once, but not now. If you do not want it to run a second time, select this button.

Review
To review:

1. You created an Schedule Document to run one or more than one Task.

2. You named the Schedule, provided a description, identified the Start and End Times, and the days on which to run.

3. You selected Tasks to run at that time.

You are now ready to run the Sentinel and load data from Customer.txt into the Customer.nsf Notes Destination Database.

To begin importing the data, make sure the Task Document that you just created is open on your screen. Click the Run Now button to instruct the Sentinel to execute this Task.
Running this Schedule Task at Later Time or Date
If you want to run this schedule tonight, save the document. At the end of the day, switch to the Windows Program Manager (use ALT + TAB). Click on the Sentinel Engine

From the main menu of the MayFlower Integration Engine, Select "Setup/Database Location" check if the Scheduler On is selected or not.

Notice that the button is not selected. Select it now.

Select OK. The Sentinel Engine is now waiting. It will run the Schedule Document at the time and date that was specified on the form.
