How Notes to Notes Works
The Sentinel can move data from one Notes database to another. This is useful to save retyping data more than once.

Points to Remember

1. Sentinel moves all fields if none are specified in the Task form. This includes Rich Text, Multi-Value lists, Reader and Author Names, as well as encrypted fields and attachments.

2. Sentinel uses Views to sub-select data from the databases. This enable you to not select certain information. For example, you may be copying information from the payroll system to the human resource system for one division only. If you use the selection formula or a view in the source Notes database, Sentinel will only copy those Notes.


Sample Uses

1. Use Notes to Notes to make backup copies of a database.

2. Put summary sales information into a customer database from a sales database.

3. Copy data into special, non-replica databases for use by customers. This allows better ACL and guarantees that Customer A will not see the data from Customer B.


Tips and Techniques

1. Explode Codes: Update product descriptions from product codes. Using a product code database in Notes, create a view sorted by product code in both the source Code table and destination Notes database. Select only the "Update" for Import Type. This will put the current product description in every Note that contains a match for a code in the source.

2. Move Notes name to the public employee database. Many organizations do not use the Notes Name & Address book for an employee directory due to the fact that it is essential to Notes. The problem with a separate Employee Directory is that users may want to see the Notes username. Using Notes to Notes, you can add the Notes name to the Employee Directory.
